Why maintenance planning belongs in the buying decision
A technically impressive device can become a poor investment when local support is unavailable, consumables are hard to source or repair turnaround is unpredictable. 1. What does the full maintenance schedule require?

A clear schedule should state who performs each task, how often it is done, which tools or parts are needed and what records must be kept.

2. Who can service the equipment locally?
A warranty is valuable only when there is a workable route to support. Confirm whether technicians are based locally, travel from another region or depend on remote guidance. Ask what happens after the warranty expires and whether independent qualified technicians can obtain service information, test procedures and approved parts.

What are the normal acknowledgement and on-site response times?
Is telephone or remote troubleshooting available?
What proof of training or authorisation can the service provider provide?
Is loan equipment available for critical devices during prolonged repairs?
3. Are spare parts, accessories and consumables reliably available?
A low purchase price can lose its appeal when a proprietary sensor, battery, filter, probe, cuff, cable or board is unavailable. Identify frequently replaced items, their expected lifespan, current price, lead time and compatibility rules. For imported equipment, ask whether essential parts are stocked in Kenya or ordered only after a fault occurs.
Also clarify whether using third-party accessories affects safety, measurement performance or warranty coverage. Compatibility should be confirmed in writing by the supplier or manufacturer.
4. What exactly does the warranty cover?
Do not accept “one-year warranty” as a complete answer. Read the exclusions. Some warranties cover parts but not labour; others exclude travel, batteries, probes, accidental damage, preventive maintenance or damage caused by unstable power.

5. What is the true cost of ownership?
The purchase price is only one line in the equipment budget. Build a three- to five-year estimate that includes installation, training, preventive maintenance, calibration, consumables, software licences, batteries, replacement accessories, parts, transport, power protection and disposal.

Downtime deserves its own estimate. Ask: if this device is unavailable for one day, what procedures are delayed, outsourced or cancelled? Which patients are affected? What backup capacity exists?
6. Is the equipment suitable for your operating environment?
Maintenance problems are sometimes purchasing problems in disguise. Confirm the device’s electrical supply, earthing, surge protection, ventilation, temperature, humidity, water quality, network and space requirements. Mobile equipment also needs safe transport, wheel and brake checks, charging routines and protection from impact.

7. What training is included – and who needs it?

Ask whether training is included for all shifts, whether new staff can be trained later and whether competency is documented.

8. How will maintenance records be managed?
Every device should have a traceable history. At minimum, record its asset number, manufacturer, model, serial number, location, risk level, commissioning date, warranty, maintenance schedule, service reports, calibration status, faults, parts replaced and final disposal.
A simple spreadsheet can work for a small clinic; a larger facility may need a computerised maintenance-management system. The tool matters less than disciplined, complete and retrievable records.
9. What happens when the equipment fails?
Agree on the fault pathway before the first fault. Staff should know how to stop use safely, label or isolate the device, protect patient data, report the problem and escalate urgent cases. 10. What is the end-of-life plan?
Ask how long the manufacturer expects to support the model, when parts availability may end and how software or cybersecurity updates are handled. Establish retirement criteria such as repeated failure, unacceptable risk, unavailable parts, inaccurate performance, high repair cost or loss of manufacturer support.
Disposal must account for patient data, batteries, electronic waste, contaminated components and local requirements. A device should leave service through a controlled process, not disappear from the asset register.

Red flags that deserve a pause
